  1. Job Purpose
  • Ensure planning and coordination of all aspects of ongoing training requirements for Pilots including initial, upgrade, conversion, and recurrent training programs, along with management and maintenance of all training requirements.
  1. Key Accountabilities

 

  • Responsible for managing minimizing expense by having SIM cancellation and adhering to training timelines for new hires and releases

 

  • Overlook Planning and Execution of DE, TRI and the LTC standardization checks.

 

  • Coordination with DGCA FOIs for standardization checks.

 

  • Overlook planning and execution of special qualification training.

 

  • Daily Audit check for crew planned for simulator and line training to ensuring that planned training is not in any violation, same to be share with reporting Manager on daily basis.

 

  • Maintaining trackers by conducting regular audits.
  • Keeping records for sim utilization towards invoice tally.
  • Ensuring the crew and all concerned are timely informed about the changes in their Simulator or flight schedule as per company policy.
  • Ensuring the Simulator schedule is daily released with the trainers and trainees.
  • Overlook liaising with vendors in respect to the revised slots and reconciliation of simulator hours.
  • Overlook coordination with rostering team about changes in pilot roster due Day ops changes to ensure training targets are met.
  • Being updated with Company policies/CAR/OMA/OMD/DPM requirements for ensuring compliance.
  • Overlook timely and correct closure of crew queries as per We Care SLAs.
  • Coordinating with concerned teams for system functionality and any other issue related to systems.
  • Conducting audit for all crew training records in compliance with company and regulatory requirements
  • Checking and confirming trainer utilization for payroll purposes.
  • Calculating the simulator slot requirement for upcoming months and slot booking for the same.
  • Overlook planning of trainer and trainee roster.
  • Coordinating with other departments such as Manpower planning/Flight Ops Training/Admin team for seamless flow of information towards future training requirements.
  • Overlook optimal utilization of resources with equal distribution of training hours to trainers.
  • Overlook and Ensure Line Release of crew as per KPIs.
  • Creating all training data to assess training performance, completion rates, and other key metrics and prepare regular reports.
  • Overlook coordination for non-revenue flights.
  • Weekly audits to ensure maker and checker process is followed.
  • Quarterly review of DPM.
  • Weekly audit for all training completed as per compliance in past one week, report to be submitted to the reporting manager.
  • Ensuring timely escalation of any issues impacting training KPIs to reporting manager.
  • Weekly audit of system to ensure correct data being entered in the system by the admin team.
  • Creating staff roster for shifts.
  • Coordinate with Roster Planning and Day Ops team to ensure all rostered crew is up to date with training as per regulatory requirements.
  • Ensure crew training rosters comply with the legal limitation as laid down by regulatory authorities.
  • Lead team to track completion of training and ensure that appropriate parties are notified if a candidate fails or does not complete training, and coordinate with various individuals to set up remedial or additional training, as required.

Team Management

  • Lead team and provide direction on execution of KPIs/ implementation of tasks by prioritizing functional and organization goals.
  • Support team members in collaborating across multiple internal/external stakeholders.
  • Support, nurture and develop the team members’ skills in all areas related to Crew Management.

 

 

Any other additional responsibility could be assigned to the role holder from time to time as a standalone project or regular work. The same would be suitably represented in the Primary responsibilities and agreed between the incumbent, reporting officer and HR.

  •  Coordinate with Flight Ops/Day Ops/Licensing Team to align on crew trainings.

Digital & Technology Department

  • Needs to liaise with the IT team to leverage technological resources effectively, streamline rostering workflows, automate repetitive tasks, and enhance decision-making through data-driven insights.

Administration- HR

  • Coordinate with admin & facilities team for the HOTAC related requirement.

External Interfaces

DGCA Representatives

  • For coordination with DGCA FOIs for planning Trainer standardization checks

Vendors

  • Coordination with vendors for training slots
  1. Educational and Experience Requirements

Minimum Education Requirement

  • Bachelor’s degree or/with MBA or PGDM and/or any Master`s degree and/or any DGCA approved aviation related course of minimum three years of duration.

  • 5+ years of experience in crew rostering/planning
  • Extensive and comprehensive knowledge of airline/airport operation.
  • Well versed with DGCA rules and regulations pertaining to pilot crew FDTL & Training requirement.
  • Must have experience of handling complex situations.
  • Must have experience of working under tight schedules.
  • Ability to work under pressure in a fast-paced environment.
  • 8+ years for Sr. Manager
  • 10+ years of experience in an airline operational environment.
  • Proficiency in using Jeppesen Crew Pairing & Jeppesen Crew Rostering software
  • Familiarity with CAE Crew Manager or similar crew management systems
  • Having hand-on experience in handling the operation of international airlines is an added advantage.
  • Understanding of fatigue risk management principles in relation to pilot crew scheduling.
