  1. Job Purpose
  • Responsible for managing all documentation-related tasks for the Cabin Crew and ensure that all documentation is accurate, up-to-date, and easily accessible.

 

  1. Key Accountabilities 

Documentation

  • Collect BCAS, AEP and police verification forms timely from crew members and trainee crew.
  • Send the forms for stamping and check files for any discrepancy (BAEP/TAEP). In case of discrepancy, inform crew members.
  • Review expiry of police verification record for crew members, IB clearance for foreign national and notify them as per stated timelines.
  • Sign on AVSEC forms and take nomination for AVSEC session of corporate team and plan slots for online sessions. 
  • Support the Documentation Lead in identifying opportunities for process improvement in document management and implementing changes to increase efficiency and effectiveness.
  • Ensure that all documentation is properly stored, organized, and easily accessible to relevant stakeholders
  • Assist in the distribution of documentation to internal and external stakeholders, such as cabin crew members, training teams, and corporate team.
  • Support the archiving and disposal of documentation in accordance with company policies and regulatory requirements.
  • Ensure timely list sharing with the vendor for the crew US visa.
  • Handling US visa vendors and US visa process end to end, from emailing crew to updating the records of US visa in the CAE application.
  • Ensure regular follow-up with vendor, maintaining US visa tracker and maintain all the crew details related to US Visa.
  • Ensure regular interaction with stakeholders and maintain good liaison with BCAS/DGCA/Airport Operator/US Embassy and all stakeholders at the airport for quick redressal of AEP/CMC/Visa NOC related issues.

 

  • Accountable for timely processing of police verification and issuance of TAEPs/BAEPs for other assigned dedicated bases as a SPOC, hence enabling a smooth in-flight operation across PAN India.  

Any other additional responsibility could be assigned to the role holder from time to time as a standalone project or regular work. The same would be suitably represented in the Primary responsibilities and agreed between the incumbent, reporting officer and HR.

IFS & Cabin Crew Head and Team

  • Support the development and implementation of the Cabin Crew Division Function’s administrative policies and procedures through document management.
  • Coordinate with other bases for assistance in processing TAEPs/BAEPs and visit to respective base whenever required.

Security team

  • Coordination with security team for documentation of BAEP/TAEP.

External Interfaces

BCAS/DIAL/Travel partner

  • Coordination with respective team for follow-up on TAEPs/BAEPs, police verification, IB clearance for foreign nationals, US visa appointment etc.

 

  1. Educational and Experience Requirements

Minimum Education requirements

  • Bachelor’s degree and/or related field experience in an airline operational environment
