Associate Manager - Allowance Manager

Job Purpose
The Allowances Manager will be responsible for the end-to-end governance, calculation, and accuracy of all employee allowances processed through payroll, with a strong focus on airline-specific components such as flying allowances, international per diems, and operational allowances.
This role demands high data accuracy, analytical rigor, and control over complex, large-scale datasets, ensuring timely and compliant payouts while partnering closely with cross-functional stakeholders.

 


Key Responsibilities

1. Allowances Management & Payroll Accuracy
Manage computation and validation of a wide spectrum of allowances, including:
o Flying Allowances (Pilots & Cabin Crew)
o Night Shift & Break Shift Allowances
o Overtime (OT) Payments
o Remote Location / Transport Allowances
o International Mobility Allowances & Per Diem
o Ensure 100% accuracy and timeliness in payroll inputs related to allowances.
o Establish strong controls to avoid leakages, overpayments, or compliance gaps.

 

2. Data Management & Analytics
• Handle large and complex payroll datasets, including roster-based and variable pay components.
• Perform detailed data validation, reconciliation, and variance analysis.
• Deliver razor-sharp reports and dashboards for leadership decision-making.
• Identify patterns, anomalies, and opportunities for cost optimization.

 

3. Cross-Functional Collaboration
Work closely with:
o Flight Operations & Crew Scheduling (for flying hours and duty data)
o HR Operations & Shared Services
o Finance & Compliance teams
o Mobility & International HR teams
o Ensure seamless integration of inputs from various systems (roster, HRMS, payroll).

 

4. Compliance & Governance
Ensure all allowance payments adhere to:
o Company policies
o Labor laws and tax regulations
o DGCA/aviation-related norms (where applicable)
o Support internal and external audits with accurate documentation and reconciliations.

 

5. Process Excellence & Controls
• Drive standardization and automation of allowance calculations.
• Build SOPs, validation checks, and audit trails for all allowance processes.
• Continuously improve turnaround time (TAT) and accuracy through process optimization.

 

6. Stakeholder Reporting
Provide periodic MIS, dashboards, and insights on:
o Allowance costs
o Trends & variances
o Budget vs. actuals
o Support leadership with data-backed insights for workforce and cost decisions.

 

 

Key Requirements
• Experience
• 8–12 years of experience in Payroll / Compensation / Finance operations
• Strong experience managing complex, high-volume payroll datasets
• Prior exposure to allowances-heavy payroll structures (preferably aviation, logistics, or large ops-driven industries)

 


Functional Expertise
Deep knowledge of Payroll processes and statutory compliance, Variable pay and allowance calculations
International payroll / per diem structures (preferred)
Strong proficiency in Excel / data tools / payroll systems (e.g., SAP, PeopleStrong, SuccessFactors)
